ChurnZero alternatives for B2B SaaS

Gainsight is the best pick for most teams leaving ChurnZero because its pricing page spells out what each package includes and how many users and customers fit, and it sells in-app guidance as a separate package. Vitally is the lighter runner-up. None of the five alternatives below publishes a dollar price, so this page compares packaging, limits, connectors and the work of moving off ChurnZero, and uses one public benchmark for budgeting.

Best pick and why

Gainsight Essentials is the closest like-for-like swap for a ChurnZero team that wants to keep the same scope: health scorecards, success plans, digital journeys, surveys and dashboards are all on its Essentials row, and the page promises onboarding in as little as two weeks. Step up to the Enterprise package if you need renewal and expansion forecasting, because that row is Enterprise-only. Pick Vitally instead when the reason for leaving is that you want to tune the health model yourself, in a tool where every plan carries every feature and a sandbox lets you test with your own accounts first.

Alternative Price shown Sizing facts published Main reason to pick it over ChurnZero
Gainsight Pricing on request (quote-based) Essentials: 10 users, 100 customers per user. Enterprise: 20 users, 200 customers per user Published package contents, an onboarding-speed promise, separate in-app product
Planhat Pricing on request (quote-based) None; add-ons and services are named One data model for companies, end users and licences, with CRM and services tooling in the same system
Vitally Pricing on request (quote-based) Unlimited observer seats on every plan Same features in every plan, a preview step in the health builder, a trial sandbox
Totango Pricing on request (quote-based) None Only if your contract talks are with the vendor now called Odie and you have its roadmap in writing
ClientSuccess Pricing on request (quote-based) Startup: 500 customers, 10 licences. Growth: 5,000 and 50. Enterprise: unlimited The clearest implementation-time statement of the group and no setup fee

What you are actually replacing in ChurnZero

Before you compare vendors, list what ChurnZero does for you today. Its own pages describe a wider surface than a health score and a task list, and the parts that are hardest to replace are rarely the ones people name first.

  • ChurnScores: the health score page says scores are built from metrics you choose, with separate scores recommended per customer size, lifecycle stage, industry and region. The history of those scores is the asset you cannot recreate, so export it first.
  • Plays, journeys and success plans: automated workflows with conditional logic, journeys that enrol accounts by segment criteria, and success plans with no stated limit per account.
  • In-app communications: announcements, surveys, Success Centers and walkthroughs on ChurnZero's in-app page. Most alternatives do not have an equivalent inside the same contract.
  • Reporting output: scheduled report distribution and Dynamic Slides for QBR and renewal decks, described on the reporting page.
  • Connectors: the integration page names eleven CRMs, twelve support tools, eight finance tools, Snowflake, BigQuery and Amazon S3, and Segment, Mixpanel, Pendo and Intercom for usage.
  • Services hours: if you bought a Services Suite package (Silver 8, Gold 16 or Platinum 32 hours a month), someone at ChurnZero has been doing part of your admin work, and the replacement tool needs an administrator on your side.

ChurnZero shows no price on its site, so there is no list price to beat. The comparison that matters is capability and effort, with the quote as the last step.

Gainsight

Best for: teams that want ChurnZero's scope in a platform with a documented package ladder. The Gainsight pricing page shows two Customer Success packages, Essentials and Enterprise, each with a Request Pricing button.

Item on the pricing page Essentials Enterprise
Included full users1020
Included customers per user100200
Viewer licencesUnlimitedUnlimited
Health scorecards, surveys, digital journeys, dashboardsYesYes
Company news, renewal and expansion forecasting, organizational mappingNot listedYes

The same page sells Product Experience as a separate package covering in-app guides and engagements, an in-app hub, user surveys, product analytics and web, mobile and desktop support. It carries a Request Pricing button and a Free Trial link. For a ChurnZero team that relies on announcements and walkthroughs, that is where the replacement lives, and it is a second line on the quote. The Gainsight customer success page also names AI agents (Atlas, Staircase AI, Agent Studio and an MCP library) that are worth a demo if ChurnZero's agents matter to you.

Switching effort from ChurnZero: moderate to heavy. ChurnScores map to scorecards, journeys to digital journeys and success plans to success plans, but the feature pages we read do not say how scorecard weights are configured, and the connector list sits on a separate Apps and Integrations page. Budget for rebuilding the score and reconnecting every source, and ask whether Dynamic Slides have a counterpart, because we found none on the pages read.

Planhat

The idea: one system for customer success, CRM and professional services, built on a shared data model. The unified data model page says you get companies, end users, opportunities and licences out of the box, can add custom models, and can define parent-child relationships whose revenue, health and usage metrics roll up to the customer.

Automation and data in: the automations page advertises a no-code editor with 100+ templates, tasks scheduled when usage drops, onboarding started when a deal closes, and accounts assigned by capacity, territory or expertise. The integration page lists Salesforce, HubSpot and Pipedrive, Pendo, Mixpanel, Amplitude and Segment, Snowflake, BigQuery and PostgreSQL, scheduled flat-file imports from S3, OneDrive and Google Drive, and Zendesk, Freshdesk, Help Scout, Intercom and Jira. No billing system appears on that page, which matters if ChurnZero is currently fed by Stripe, Chargebee or QuickBooks.

Cost shape: the Planhat pricing page shows no tiers and no dollar amounts. It lists what is included in all plans (data, workflow, AI and automation, reporting and application features), four add-ons (Upgraded AI Platform, Advanced Service, Email Marketing, Advanced Portals) and a services menu that includes Onboarding and Implementation, Technical Deployment, 24/5 Support and Strategic Advisory. Its FAQ asks how pricing works and whether view-only users are unlimited, but the answers are not shown on the page, so put both questions in your first email.

Switching effort from ChurnZero: heavy on data, light on concepts. ChurnZero accounts and contacts become Planhat companies and end users. The pages read show no score-import feature, but the integration page describes syncing time-series data as Metrics, so plan to load ChurnScore history that way and ask Planhat to confirm. The upside is that if you also want sales CRM or services tracking, Planhat may replace more than one tool; the downside is the decision about how to model every customer hierarchy before you import anything.

Vitally

Vitally is the shortest evaluation of the group. Its pricing page shows three plans named for the customer success motion they suit (Tech-Touch, Hybrid-Touch, High-Touch), states that features are the same across them, and lists unlimited automations, observer seats, docs and single sign-on in every plan. Prices are on request.

Choose it over ChurnZero if

  • Your CRM is Salesforce or HubSpot, both of which its integration page describes as bidirectional syncs.
  • Your usage data comes through Segment or a warehouse such as Snowflake, BigQuery or Redshift.
  • You want to preview a health rule on real accounts before it goes live, as the health score page describes.
  • You want a trial sandbox with your own data as part of the evaluation.

Skip it if

  • Customers depend on in-product announcements or walkthroughs from ChurnZero today; the Vitally pages we read describe none.
  • Your CRM is Dynamics 365, Pipedrive or Zoho, which ChurnZero names and Vitally does not.
  • You need vendor-delivered configuration hours; the pricing page lists none.

Switching effort from ChurnZero: light to moderate. The connector map is smaller, so the work is mostly rebuilding ChurnScores as health profiles, mapping plays and journeys to workflow templates that start on health changes, trait changes, NPS responses or segment entry, and replacing the in-app channel. Pages cited here are the health score and automation feature pages. The step-by-step version is in the Vitally vs ChurnZero comparison.

Totango

Read the vendor's own status before you shortlist this one. Totango's home page now opens with "Totango is now Odie" and describes Odie as a customer knowledge engine for post-sales teams. The announcement letter, dated September 10, 2026, tells existing Totango and Catalyst customers that nothing about their account changes today (same contract, same pricing, same product, same people). It does not say how long the older customer success platform will be developed. The site's login menu still lists Totango as the Customer Success Platform and Catalyst as the Customer Growth Platform next to Odie.

The old pricing address on totango.com returns a not-found page, and the site routes buyers to demo requests, so the price is quote-based. The home page says nothing about health scores, segments or integrations, which makes a feature comparison against ChurnZero impossible from public pages. Put these questions to the vendor in writing:

  1. Which product would we be buying, Totango, Catalyst or Odie, and what is its support commitment for the next three years?
  2. Does the contract fix the price at renewal, given that the announcement promises the same pricing for current customers only?
  3. Which CRM, billing and product usage connectors exist today, with direction and frequency for each?
  4. What is the export path for health history if we leave?

Switching effort from ChurnZero: unknown until those answers arrive. Treat this as the highest-risk option here for a new purchase, and the lowest-effort one only for a team already under contract. The existing Totango vs ChurnZero page covers feature-level differences.

ClientSuccess

ClientSuccess publishes the most operational detail about implementation. Its pricing page says most customers are fully implemented within 4-6 weeks, larger enterprise deployments take 8-12 weeks, there is no setup or implementation fee, and there is no self-serve free trial. It prices by the number of customer success managers and the modules you need, and gives no figures.

Package Max customers Max full licences Notable difference
Startup50010One customer goal per customer; assigned CSM for onboarding only
Growth5,00050Three goals per customer; custom dashboards and customer portal as add-ons
EnterpriseUnlimitedUnlimitedCustom dashboards and reports and the customer portal included

The product description on the ClientSuccess home page covers a SuccessScore health score that blends revenue, usage, support, sentiment and engagement, repeatable workflows it calls SuccessCycles, renewal forecasting, customer portals and a list of integrations that includes Salesforce, HubSpot, Dynamics, Zendesk, Jira, Slack, Intercom, Pendo and Zapier. Add-ons on the pricing page include Meeting Intelligence, Automation and AI, and Customer Onboarding Portals.

Switching effort from ChurnZero: moderate, with the clearest timeline. The 500-customer cap on Startup means a ChurnZero team above that size starts on Growth. Expect to rebuild ChurnScores as SuccessScores and plays as SuccessCycles, and check in-app messaging separately, since the pages read describe customer portals but not announcements or walkthroughs inside your product.

Worked sizing: which package fits which customer book

Two of the five vendors publish user and customer limits, which lets you test fit with arithmetic. The examples below are hypothetical books of business, not benchmarks, and Gainsight's figures are what its pricing page calls included, so ask whether more can be bought.

  • 400 customers, 5 CSMs: Gainsight Essentials covers it (5 x 100 = 500 customers, using 5 of the 10 included users). ClientSuccess Startup also fits (400 is under 500 customers, 5 is under 10 licences).
  • 1,200 customers, 9 CSMs: Gainsight Essentials falls short even with all ten users (10 x 100 = 1,000). Enterprise fits (9 x 200 = 1,800). ClientSuccess needs Growth, because 1,200 is above the Startup cap of 500 and well inside the Growth cap of 5,000.
  • 4,500 customers, 22 CSMs: Gainsight Enterprise is short on both counts (20 included users, and 20 x 200 = 4,000 customers). ClientSuccess Growth fits (4,500 is under 5,000, 22 is under 50). Ask Gainsight what extra users and customers cost before you rule it out.

Vitally, Planhat and Totango publish neither limit, so ask each for a quote at the same three book sizes and the same CSM and read-only user counts. For Vitally, remember that observer seats are unlimited on every plan, so executives and sales do not add seats.

The one public benchmark: skip the platform for a year

If your quotes come back high, price the do-less option. On the HubSpot Service Hub pricing page, the Professional edition includes a customer success workspace and costs $90 per seat per month on annual billing or $100 monthly, plus a required one-time $1,500 onboarding fee. Enterprise starts at $150 per seat on annual billing with a $3,500 onboarding fee. For four CSMs on Professional that is 4 x $90 x 12 = $4,320 a year plus $1,500, or $5,820 in year one; paying monthly instead costs 4 x $100 x 12 = $4,800 a year. For eight CSMs it is 8 x $90 x 12 = $8,640 plus $1,500, or $10,140 in year one. A dedicated platform has to justify the gap over those numbers with health modelling, journeys or in-product reach that HubSpot's workspace does not give you.

A switching plan built around ChurnZero

  1. Check your ChurnZero contract for the notice date and the data-return terms before you tell anyone, because ChurnZero publishes no price or term on its site.
  2. Extract accounts, contacts and ChurnScore history through ChurnZero's OData REST API, which its page says is meant for pulling data into other tools such as Excel, Tableau Desktop and Power BI.
  3. Write down every play, journey and success plan template with its trigger, and mark which ones send a customer-facing message, since those are the ones that need a destination channel.
  4. Point the same CRM, billing and usage feeds at the new tool in parallel for one renewal cycle; ChurnZero's connector list is longer than most of the five, so check each source before you assume it carries over.
  5. Decide the in-app channel on its own track, because only Gainsight's Product Experience package is described as in-app guidance among the five.
  6. Switch off ChurnZero only after the at-risk lists from both tools agree on the accounts your CSMs already know are in trouble.

Coming back to ChurnZero from another tool

If you are evaluating ChurnZero as the destination instead, the reverse moves are lighter than they look. ChurnZero lists more named CRM, support and finance connectors than any alternative here, so the connector rebuild is usually shorter. The cost shifts to services: the Silver, Gold and Platinum packages put 96, 192 or 384 hours a year of vendor time (8, 16 or 32 times 12) at your disposal for dashboards, workflows and integrations, and the prices for those packages are not published.

FAQ

Does any ChurnZero alternative publish a price?

Not among these five. Gainsight, Vitally, Planhat and ClientSuccess show Request Pricing or Enquire buttons, and Totango routes to a demo. The numbers you can actually find are package limits, such as Gainsight's included users and ClientSuccess's customer caps, and HubSpot's public Service Hub seat prices.

Which alternative replaces ChurnZero's in-app messages?

Gainsight is the only one of the five whose pricing page describes in-app guides and engagements, as the separate Product Experience package with a free trial link. Vitally, Planhat and ClientSuccess pages describe other customer-facing features, such as portals, but not in-product announcements or walkthroughs, so test that need directly in each demo.

How long does the move take?

Only a few vendors say. Gainsight's navigation promises Essentials onboarding in as little as two weeks, ClientSuccess says 4-6 weeks for most customers and 8-12 for larger enterprise deployments, and Vitally's pricing page cites a G2 figure of 1.9 months to go live. Planhat and Totango give no timeline. Your own constraint is usually the renewal calendar, so aim to cut over right after a quarter's renewals close.

Can I take my data out of ChurnZero?

ChurnZero's REST API page says you can extract its data and import it into other applications, using an OData implementation that works with Excel, Tableau Desktop and Power BI. Ask for the full export, including ChurnScore history, in writing before your notice date.

Should I wait for Totango's future to become clear?

If you are buying new, yes: the vendor's own letter says only that nothing changes today for current customers. If you are already a customer, the letter is a reason to ask for roadmap and support commitments rather than a reason to leave.
